Graduate Admissions Counselor

Reports to: Executive Director of Graduate Admissions

Purpose:
The Graduate Admissions Counselor supports recruitment, enrollment, and tracking of students across all degree and certificate programs in the School of Graduate Studies. Key responsibilities include managing application and inquiry processes in Slate CRM and Jenzabar ERP, counseling prospective students, coordinating communications, and participating in recruitment events (virtual and in-person). This role contributes directly to achieving institutional enrollment and retention goals.

Requirements:

  • Bachelor’s degree from an accredited institution
  • Experience in college admissions, sales, marketing, or customer service preferred
  • Proficiency with CRM (Slate, Salesforce, TargetX, etc.) and ERP systems (Jenzabar, Banner, PeopleSoft, etc.) preferred
  • Proficiency in Microsoft Office required
  • Strong organizational skills, attention to detail, and ability to meet deadlines
  • Excellent oral and written communication skills; comfortable presenting to large groups
  • Ability to develop and implement recruitment initiatives, especially for online students
  • Familiarity with social media for prospective student engagement
  • Strong interpersonal skills with a customer service mindset; able to work collegially across departments and interact positively with diverse groups
  • Self-starter with the ability to manage multiple projects, consistently meet deadlines and maintain confidentiality
  • Valid driver’s license, reliable transportation, and willingness to work occasional evenings/weekends

Responsibilities:

  • Manage application and inquiry processing in Slate CRM and Jenzabar ERP
  • Track prospective students through all stages of the admissions cycle
  • Communicate with students via phone, email, virtual meetings, and in-person events
  • Support recruitment efforts in collaboration with the Executive Director and Admissions team
  • Coordinate applicant status notifications (acceptance, rejection, withdrawal)
  • Serve as liaison with Program Directors, Department Chairs, and faculty for interviews, meetings, and events
  • Prepare enrollment management reports to assess recruitment effectiveness
  • Supervise graduate assistants and assign projects
  • Maintain professional, responsive interactions with students, faculty, and staff
  • Perform other duties as assigned
